# Email

> Connect one mailbox to read, answer and send email from Komplian, and link each email to the person's record.

Where: AI Agent → Channels → Email
Who: Owners and admins connect the mailbox.

Connect your mailbox so your team reads and answers email in **Smart Inbox → Emails**, next to each customer's record. Email is answered by your team: the AI agent does not reply to email.

## Connect your mailbox

### 1. Open Email
Open **AI Agent → Channels → Email** and choose the provider.

### 2. Sign in or fill in your server
For Gmail, sign in with Google. For Outlook, sign in with Microsoft. For **Custom mailbox**, fill in your IMAP and SMTP details: host, port, user and password.

### 3. Open Smart Inbox → Emails
Your mail appears there, with its folders.

To switch provider, disconnect the current mailbox first. Otherwise Komplian says: "Another mailbox provider is already connected. Disconnect it first to switch."

## Read and answer email

**Smart Inbox → Emails** has the folders Inbox, Sent, Drafts, Archived, Starred and All.

| --- | --- |
| **Compose** | Writes a new email from your address. |
| **Reply**, **Reply all**, **Forward** | Answers or forwards the open email. |
| **Insert template** | Puts one of your [templates](https://docs.komplian.com/templates/overview) into the email. |
| Read or unread, Archive, Delete, Star | Organises the email. |
| Search | Finds email in your mailbox. |
| **Show images** | Shows images loaded from the internet. They stay hidden until you choose it. |
| **Suggest a reply** | Kai drafts a reply. It uses AI credits. |

## Link an email to a contact

Open the email and choose one:

- **Link a contact**: joins the email to a record you already have.
- **Create a contact with this address**: creates a new record with the sender's address.

The email then appears in the **Emails** tab of the person's record.

## What else uses the mailbox

| **Email intake** | Reads new mail to find quote requests. **Run now** reads it at once. |

## Limits
