# Personal data requests

> Answer a customer who asks for a copy of their data or asks you to erase it, and know what Komplian keeps and removes.

Where: Contacts → People → a person → Options
Who: Owners and admins.

Your customers ask you, the business, for their data. You answer from their record in Contacts: export a copy of everything you hold about them, or erase it. Each request covers one person.

## Export a person's data

### 1. Open the person
In **Contacts → People**, open the record and press **Options**.

### 2. Choose the export
Press **Export personal data**.

### 3. Say who asked and how
In **Who asked, and how?**, write at least 10 characters, for example "Email from the person on 24 October". It is saved in the activity log with your name.

### 4. Download and review
Press **Download**. Read the file before you send it: internal notes, or other people mentioned in a conversation, may need to come out first.

The file holds the contact, conversations, appointments, form answers, orders, notes and history.

## Erase a person's data

> [!WARNING]
> Erasing cannot be undone.

### 1. Open the person
In **Contacts → People**, open the record and press **Options**.

### 2. Choose the erase
Press **Erase personal data**.

### 3. Say who asked and how
Fill in **Who asked, and how?** with at least 10 characters.

### 4. Confirm
Tick **I understand this cannot be undone** and press **Erase permanently**.

| What happens | To what |
| --- | --- |
| **Deleted** | The record, conversations, messages, notes, tasks, history, files, form answers and automation runs. |
| **Kept without the person** | Appointments, quotes and orders. They stay as business records, with no link to the person. |

Tools you connected, such as your store, your calendar or your mailbox, keep their own copy. Handle the request there too.

## Requests that arrive from Shopify

With a Shopify store connected:

| Request | What Komplian does |
| --- | --- |
| A copy of the data | Owners and admins get a notification and an email with the deadline (one month) and a link to the person's export. |
| Erase the data | Komplian erases it on its own, as above. |

## What Komplian removes on its own

| Data | Removed |
| --- | --- |
| A visitor's IP address on a conversation | 30 days after they last wrote |
| Anonymous visitors | After 13 months without activity |
