Overview

Your availability, public calendar links, requests you confirm or decline, and the calendars you connect.

Calendar is where every event in your workspace lives: meetings, appointments, demos or bookings, named after your industry. It works on its own; connecting Google Calendar or Outlook only adds your external meetings and sends invitations from your own account.

Availability

Open Calendar → Availability to set the weekly hours, the time zone, the slot length, the buffers between events, date exceptions, the minimum notice and how far ahead people can book. That last setting is counted from today: with 14 days, nothing past the fourteenth bookable day is offered or accepted, whichever month a visitor is looking at. Each person can keep their own hours; a date exception for the whole business narrows them for that day but never opens a day that person does not work.

A calendar link is a public page where people pick a time. A link books directly or only takes requests; when the AI agent is set to take requests only, every link takes requests too. Times are offered in the visitor’s time zone, and the confirmation emails follow the language they read the page in.

  • A person can hold one booking or request at a time. If they try to book another, the page shows the one they already have and lets them replace it; replacing it also removes the old one from your connected calendar.
  • If two people pick overlapping times at the same moment, the first one keeps it and the second is asked to choose again. Nobody receives a confirmation for a time that was taken.
  • The confirmation email includes a link to move or cancel. Moving only offers times the page itself would offer.
  • Your team’s alert shows the time in your time zone, not the visitor’s.

Requests

A request asks for a day (and, if chosen, a morning or afternoon), never a time. It appears in the calendar as pending and does not block anyone else. When you open it, pick the time you agree to and press Confirm: Komplian checks the time is still free, adds the event to the connected calendar of the person assigned and emails the customer. If the time was taken in the meantime, you are asked to pick another. Decline tells the customer that nothing was booked and, when the request came from a link, offers them another day.

A request nobody answers expires 12 hours after the day it asked for has ended, and your team is told.

Editing events

Saving an event changes only what you edited. Fixing the notes or the location of a past event is allowed and is not recorded as a reschedule; only a different time is. An invitation is sent when you switch it on, and again only if the time moves. Emptying a field clears it, here and in the connected calendar.

Connected calendars

Each person connects their own Google Calendar or Outlook from the Calendar sidebar. Their external meetings block their time, not their colleagues’. Events marked as free (birthdays, holidays) and invitations they declined do not block anything. Someone with both Google and Outlook connected is checked against both.

If Google or Microsoft stops accepting the connection (access revoked or expired), the sidebar shows Reconnect. Until then that calendar is simply not consulted; your calendar links keep working with your Komplian schedule.

Who can change what

Anyone in the workspace can change their own hours and create calendar links for themselves. The business hours, the time zone, how the AI agent books, other people’s hours and links for other people are for the owner and admins.
