Reservations
Keep the day’s book of reservations, seat walk-ins and take reservations online.
The day’s book
Calendar is the reservation book: who is coming, how many and at which table. The arrows on either side of Today go back and forward a day.
Each reservation shows its time, the guest’s name, the covers, the table and its status: To confirm, Confirmed, Seated, Finished, Cancelled or No-show. It also shows where it came from: by hand, phone, walk-in, booking page or assistant. The next step is one tap away: Confirm, Seat or Finish.
Add a reservation
Select New reservation and choose the day, the covers and the time. The panel marks the free times for that party size, calculated with your real tables and services. You can still type another time, for example when you know a table will be free earlier. Add the guest’s name, a phone or an email, and any notes the floor should know, such as an allergy or a high chair.
A guest with an email or a phone is added to Contacts automatically. If they are already there, the existing contact is used, so no duplicates are created.
Choosing a table
Leave the table empty and Komplian assigns the smallest free table that fits the party. If you choose a table that is already taken at that time, Komplian asks before saving. You can save anyway and sort it out on the floor. Your tables are set up in Floor.
Walk-ins
Walk-in seats someone who arrives without a booking, right now. The walk-in appears in the day’s book like any other reservation.
Settings
Open Settings on the Reservations screen to set how you take reservations:
- Services: the days of each service, such as lunch and dinner, with its first and last arrival time.
- Arrival interval: every 15, 30 or 60 minutes.
- Table time: how many minutes a reservation keeps its table.
- Covers at the same time: only used while you have no tables on the Floor. With tables, each reservation takes a table.
- Time zone of the restaurant.
- Take reservations online and Confirm online reservations automatically, explained below.
- Largest party online, Minimum notice and Days ahead: the limits for what customers can book on their own.
Taking reservations online
Turn on Take reservations online to open your booking page and let your AI assistant book free tables in conversations, for example on web chat or WhatsApp. You need at least one service first.
With Confirm online reservations automatically off, online reservations arrive as To confirm, and the assistant tells the customer that the restaurant will confirm it. It never tells them the reservation is confirmed. Turn it on and online reservations arrive confirmed.
Every reservation made on the booking page or by the assistant notifies owners and admins in the notification bell.
Your booking page
Settings → Booking page gives you a public link that ends in /r/ followed by your workspace’s address. Put it on your website, your Google profile or your Instagram bio, or embed it inside a page of your website. The page only shows free times and asks for a name and a phone or an email.
