Create, reserve, fulfill and collect workspace-owned sales orders.

Create a sales order

Open Operations → Orders and select New order. Add the customer details, items, quantities, price, discount, tax rate, and an expected fulfillment date when needed. The new order is saved as a draft, so you can review the commercial details before making a stock commitment.

Each line keeps a copy of its SKU, name, price, tax rate, and unit at the time of creation. Later catalogue edits do not change a past order.

Confirm and reserve stock

Confirming a draft reserves the required quantity for physical items that use Komplian’s stock ledger. Reservations reduce the quantity available for new promises, but do not change the physical stock balance.

Items whose stock is managed by a connected provider stay under that provider’s control. The order shows a warning so you can verify availability there before promising a delivery date.

Record fulfillment and delivery notes

Open a confirmed order and enter the quantity completed for each line. You can fulfill an order in parts. For a physical ledger item, fulfillment creates a delivery movement in inventory and releases the matching reservation. For services, digital items, and externally managed stock, it records the completed operational milestone without creating a fictitious stock movement.

Every fulfillment creates a linked delivery note with the exact quantities, item snapshots, and customer details for that operational event. Open Operations → Delivery notes to review it, send its complete itemized content through the connected business mailbox, or print and save it as a PDF. Multiple partial fulfillments create multiple delivery notes; Komplian does not pretend one delivery happened when it did not.

Record the invoice and its payments

Komplian does not issue invoices. Issuing an invoice makes the program an invoicing system under the rules that govern that in most of the countries Operations supports, and those are obligations Komplian has not taken on. You issue the invoice with your own invoicing software — the one you already use — and Komplian records what it says so the rest of the chain stays joined up.

From a confirmed, partially fulfilled, or fulfilled order you can hand the accepted lines to that software through a connector, a webhook, or a CSV export, so nobody retypes what the customer already agreed to. Record the resulting invoice number, date and amount against the order, and then register each payment with its amount, date, method, and reference. Payment entries cannot exceed the outstanding balance.

Complete Operations → Business details with the legal identity, identifier, registered address and document design. Those details are printed on the quotes, orders and delivery notes Komplian produces, and they are copied into each document when it is created, so a later edit does not rewrite a document you already sent.

Komplian provides document, delivery, and payment-management tools. It does not issue invoices, does not send billing records to any tax authority, and does not determine local tax rates, filing obligations, accounting treatment, legal validity, or compliance. It is not a substitute for your accountant or your legal adviser. Your business and its adviser remain responsible for the invoices you issue and for meeting your obligations.

What stays separate

Orders synchronized from Shopify, WooCommerce, or another connected provider remain read-only tracking records. They are not converted into editable operations orders. Komplian records invoice and payment facts, but it does not submit tax filings, reconcile a bank automatically, or replace your accountant or legal adviser.
