Suppliers

Keep who you buy from, what each supplier sells you and at what price.

Add a supplier

Open Purchases → Suppliers and select New supplier. Choose the company from Contacts, or create it there in one step, and optionally the person you order from. Then say how you place orders with them: email, WhatsApp, phone or in person. That channel is the one Komplian offers first when you send them a purchase order.

A supplier is a company in Contacts. Its people, emails and conversations stay in Contacts; Purchases only keeps how you buy from it: order channel, delivery days, lead time, minimum order, payment terms and billing details. A company that is a supplier cannot be deleted from Contacts until it is archived as a supplier.

What they sell you

On each supplier, list the items you buy from them with their reference, price and purchase unit. When a supplier sells by the box and you count by the kilo, set how many stock units come in one purchase unit, for example a box of 6 kg. Receipts then add the right quantity to stock and the price per kilo is worked out for you.

Price history and preferred supplier

Every price change is kept with its date, so you can see when a product went up and by how much. Mark one supplier as preferred for each item: What to order today, in purchase orders, groups what you need by preferred supplier.

When a delivery comes in at a different price, the supplier’s price list takes the new price. The receipt shows which prices changed, and a change of more than 5% is also sent to owners and admins in the notification bell.

Archive a supplier

Select Archive on a supplier you no longer buy from. Their orders and receipts are kept, but they are no longer offered for new orders. Use Show archived to find them and select Restore to order from them again.
