Stock & movements

See what you have in each warehouse, record stock movements and follow every change in the ledger.

Stock by warehouse

Inventory → Stock lists how much of each physical item you have in each warehouse and when it last moved. Filter by warehouse, or tick Only below reorder point to see what is running low. Select New warehouse to add a store room, a second shop or a van.

Stock is never edited, it is moved

There is no field to type a stock figure into. Stock is the sum of every movement recorded: receipts from suppliers, deliveries to customers, counts, transfers and write-offs. That way every figure can answer the question “where does this number come from?”. A negative figure means more went out than came in: fix it with a stock count, not by editing.

Record a movement

Select Record movement, choose the item, the warehouse and the reason, and enter the quantity. The reason decides the direction:

  • Receipt and Delivery: goods arriving from a supplier or leaving for a customer.
  • Transfer in and Transfer out: goods moving between your warehouses.
  • Customer return and Return to supplier.
  • Write-off: broken, expired or lost, with the reason it was thrown away.
  • Count / adjustment: the only reason that can go both ways.

Add the unit cost, the lot and the use-by date when they apply; a lot with a use-by date appears in Lots & expiry. Receipts and deliveries recorded from purchase and sales orders create their movements on their own, so you only record by hand what happened outside them.

Movements

Inventory → Movements is the ledger: every receipt, delivery, count and write-off, with when it happened, who recorded it and why. Search it by item, lot or note.

Reorder points

Set a reorder point on each physical item in the catalogue. Items at or below it appear in What to order today, in Purchases, grouped by their preferred supplier. Once a day, owners and admins get a notification in the bell listing the items at or below their reorder point; it is withdrawn once they are restocked. You can also start a flow when an item drops below its reorder point. Both need Inventory to be active in the workspace.

Export to CSV

Select rows in the stock list and choose Export CSV to download them with item, warehouse, quantity and last movement.
